What we do with your details

Short version: we collect what we need to turn up at the right address on the right day, we take payment through Stripe so we never see your card, and we do not track you or sell anything to anyone.

Who we are

SYR Building Ltd is the data controller for the information described here. We are registered in England and Wales, company number 14039753, registered office 16 Walpole Close, Doncaster, England, DN4 9DJ.

What we collect, and why

Only what the booking needs. There is no account to create, and nothing is collected just in case it turns out to be useful later.

Card details

We never see them. Payment happens on Stripe’s own checkout page, not ours. What comes back to us is a reference and a yes or no. No card number, expiry or security code ever reaches this website or our database.

Our lawful bases

Performing a contract — everything needed to carry out the viewing you have booked and paid for.
Legal obligation — keeping records of what we charged and when, for tax purposes.
Legitimate interests — keeping a record of quotes we have given, and being able to answer a question about a job months later.

We do not send marketing email. The one exception is the discount code: if you type your email into the offer on our website or in our app, we email you that code, because you asked for it. We do not add you to any mailing list, and we use that email address for the code and nothing else unless you also place an order.

Who else handles it

We use a small number of established suppliers to run the booking. They process your information on our instructions, and none of them may use it for their own purposes.

Stripe	Takes the payment. They receive your email address and the amount, and handle the card details directly.
Supabase	Hosts the database the booking is stored in.
Resend	Sends your confirmation email and our copy of it.
Vercel	Hosts the website itself, and keeps short-lived technical logs of requests.
postcodes.io	Turns a postcode into a location so we can measure the distance. We send the postcode only — never your name or any other detail.
Cloudflare	Runs the “are you human” check on the booking form, so bots cannot fill the diary. It sees your browser and IP address, not what you type into the form.
ClickSend	Sends the text messages described below. They receive your mobile number and the text of each message.

We do not sell your information, share it with marketing companies, or pass it to anyone else unless the law requires it.

If you buy tiles from our shop

When you buy online, Stripe collects your name, email, phone number and address, and passes them to us with the order. We use them to send your receipt and to arrange collection or delivery, and keep them as a record of the sale for the same six years as our other accounting records.

Delivery is priced from the postcode you give us before you pay, and we use the order number and the email on the order to show you your order status and invoice. Your invoice and tracking links contain a code, not your email address. If something arrives damaged and you report it with photos, we keep the photos, your description and your email with the order so we can deal with it, and only we can see them. If you ask for a discount code, we keep your email and the code so each code can only be used once.

The SYR Tiles app does not track you, show adverts or use analytics. It stores your basket, saved items and the orders you looked up on your own phone. It sends your email only when you ask for a discount code, track an order or report a problem, and your photos only when you report a damaged item.

Texts we send

If you give us a mobile number we text it three times at most: when the viewing is booked, the day before it, and once after we have been out, asking whether you would leave us a Google review. That last one is sent once and never repeated. If you would rather not get texts, tell us when you book or at any time after, and we will stop.

How long we keep it

Booking and payment records are kept for six years after the end of the tax year they fall in, because HMRC requires it of a limited company. A booking that was started but never paid for is kept only as a record that it was abandoned, and we delete it if you ask. If you ask us to delete something and we are allowed to, we will.

Cookies

This site sets one cookie, and only for our own staff: a login cookie for the admin page where we manage the diary. It is httpOnly, meaning no script can read it, and it does nothing on the public pages.

There is no analytics, no advertising pixel, no session recording and no third-party tracker anywhere on this site. That is why you have not been asked to accept cookies — there is nothing to accept.

Your rights

Under UK data protection law you can ask us to:

give you a copy of what we hold about you
correct anything that is wrong
delete it, where we are not required to keep it
stop or restrict what we are doing with it
hand it over in a portable form
object to processing we are doing on legitimate interests grounds

Email info@syrbuilding.co.uk and we will deal with it within a month. There is no charge.

Complaints

If we get it wrong, tell us first and we will try to put it right. You can also complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.

Changes

If we change how any of this works, we will change this page and update the date at the top.
